Warehouses are a physical site that the Company operates from. It may be used to:
- Receive and store vending products, and run vending Routes from
- Be a location to store vending machines
- sell and distribute ORS/OCS products
[If you have Attendant vending locations where product is directly shipped to from the supplier and stored in a location at the Accounts premises, and where other product is stored temporaily before being placed in vending machines then consult with VendSys Support to review the advantages and disadvantages whether a single large vending location of this type should be treated as a Warehouse]
The following fields are used to define Warehouses:
Region
The Region that the Warehouse forms part of
Active
Whether inactive or not. Inactive Warehouses do not appear in selection lists.
Description
The name of the Warehouse. Warehouse names must be unique.
Address1, Address2, City, Zip, State
The address of the Warehouse. All field except Address2 are mandatory. Zip must follow the US/Canadian standard format.
It is important to get the address details correct as this information will be used in the route mapping and optimization functions which rely on accurately resolving addresses into GPS coordinates.
Inventory Type
Select from Product SKU or Product Group. Inventory control can be set to be by Group or by SKU (Item level). This needs to be carefully selected as all transaction processing of Warehouse Inventory transactions will use this definition to control at what level of product definition transaction quantities and inventory levels are maintained at.

Site Visit Cost, Asset Visit Cost
These values are the Standard costs set by the company as being representative of the cost for a Route Driver to visit an Account Site and Service an Asset.
To work this out, consider total costs of the Route including Driver wages, truck costs, fuel etc, and calculate the average hourly rate of the driver eg if total route costs are $50,000 and the driver works 50 weeks and 40/hours per week, then the hourly cost is $25/hour. If it takes on average 1/2 an hour to go from site to site, and 15 mins to service a machine then the Site visit cost would be $12.50 and the Asset Visit cost would be $6.50. Thus if am Account has 3 machines, then the cost to visit and service that Account is a total of $32.00.
This data is used in calculations presented in the Account Profitability Report and will be applied against the actual number of Account visits and Machine Services.
